A dental office or clinic has one moment that works and several that do not. The waiting room, mid-appointment, and anywhere near a patient who is still anxious or in discomfort are the wrong spots. Checkout, once the visit is actually finished, is the right one.

Recommended format and placement

  • At the checkout window: a card handed to the patient with their paperwork or receipt as they are finishing up and scheduling their next visit.
  • At the reception desk: the acrylic stand can sit on the counter for patients to tap or scan while they wait for paperwork to be printed.

How many you need

One stand at the main reception or checkout desk, plus a small stack of cards front-desk staff can hand directly to patients on their way out.

When to present it

At checkout, after the appointment is complete, never in the waiting room or during treatment. A patient who just had a procedure needs to leave with clear next steps first, not a review prompt; offering the card as they are settling the bill and booking their follow-up keeps it low-pressure and appropriately timed.

The policy-safe way to ask

Google's guidelines let a practice share its review link or a QR code with patients, and prohibit offering any discount on treatment for a review, and prohibit only offering the card to patients whose visit went smoothly. For a dental or medical office, that means:

  • Front desk staff offer the card to every patient checking out, in the same brief way, regardless of what the visit involved.
  • Never mention a review in connection with billing, insurance, or the cost of treatment.
  • If a patient raises a concern about their visit, address it directly with them rather than skipping the card for that patient specifically. Selectively withholding it based on how a visit seemed to go is exactly the kind of gating Google's guidelines prohibit.
