A stand at the desk for departing guests, and an in-room card for the quiet moments before checkout.

A hotel stay has a long gap between arrival and the moment a guest actually has an opinion worth asking about, so timing matters more here than in most businesses.

Recommended format and placement

  • Front desk: the acrylic stand at the check-out counter, where a departing guest is already standing with a phone in hand while settling the bill.
  • In-room: the adhesive tag mounted on the nightstand, desk, or inside a welcome folder, so it is visible during the stay rather than only at the very end.

How many you need

One stand per front desk or check-out station, and one adhesive tag per room, mounted once and left in place for every future guest.

When to present it

Not at check-in. A guest has not experienced anything yet at check-in, and asking then reads as premature and can pressure a review before there is anything real to say. The in-room tag works passively throughout the stay; the front desk stand is best used at check-out, when the stay is complete and the guest is forming their actual opinion of the visit.

The policy-safe way to ask

Google's guidelines permit a hotel sharing its review link or a QR code with any guest, and prohibit offering a room credit or late check-out in exchange for a review, and prohibit only handing the stand-side prompt to guests the front desk staff judged as happy. For a hotel, that means:

  • The in-room tag is available to every guest in every room, not selectively placed in "better" rooms or suites only.
  • Front desk staff can mention the stand to every departing guest the same way, regardless of how the stay went.
  • Never offer a free upgrade, a discount code, or loyalty points for leaving a review, and never ask a guest to edit or remove a review already posted.
